Nail Salon POS PRO Privacy Policy

DHM GLONEX LLC (“DHM GLONEX,” “we,” “us,” or “our”) provides Nail Salon POS PRO, including its Clover, web, and Windows applications and related booking, check-in, and support services (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and protect information when the Service is used.

1. Our role and scope

Nail Salon POS PRO is a business-management service for nail salons and similar merchants. For information a salon enters or receives about its customers and employees, the salon is generally the business responsible for that information, and DHM GLONEX processes it to provide the Service. Questions about a salon’s use of personal information should ordinarily be directed to that salon first.

This Policy applies to the Nail Salon POS PRO applications, nailsalonpos.net services, online booking and check-in pages, and related support interactions. It does not replace Clover’s own privacy notices or the policies of a salon or another third party.

2. Information we collect

Depending on the features used, we may process:

  • Merchant and account information: business name, owner or administrator contact details, locations, hours, settings, subscription status, ShopID, Clover merchant and device identifiers, and login or role information.
  • Customer information: name, telephone number, email address, appointment, booking, check-in, waitlist, service, ticket, purchase, gift-card, loyalty, and communication information entered by the merchant or customer.
  • Employee information: name, contact details, role and permissions, availability, schedule, work status, clock records, assigned services, technician turns, commissions, tips, and payroll-related information entered by the merchant.
  • Catalog, order, and payment information: services, products, prices, modifiers, inventory, orders, discounts, taxes, tips, payment method category, payment status, refunds, voids, and transaction identifiers.
  • Device and usage information: IP address, device type, operating system, browser, app version, language, timestamps, diagnostic logs, crash information, and security or session events.
  • Support information: messages, attachments, screenshots, recordings, and other information submitted when requesting support.

Payment card entry and authorization are handled by Clover/Fiserv and their payment services. Nail Salon POS PRO does not intentionally collect or store full payment-card numbers, card security codes, or PINs. We may receive the transaction identifiers, payment status, amount, tender type, and other information required to display, reconcile, refund, or report a transaction.

The Service does not intentionally request biometric identifiers, government identification numbers, medical records, or information from children for independent use by DHM GLONEX.

3. How we use information

We use information to:

  • provide and operate POS Board, tickets, appointments, online booking, check-in, waitlist, technician turns, employee scheduling and access, gift cards, loyalty, inventory, reporting, payroll and commission tools, and related features;
  • connect the Service with Clover, process Clover checkout requests, and synchronize permitted merchant, customer, employee, catalog, order, and payment data;
  • authenticate users, enforce roles, isolate each merchant’s information by ShopID or equivalent account identifier, and protect the Service;
  • provide customer service, troubleshoot problems, maintain availability, and improve usability and performance;
  • administer subscriptions and communicate about the Service; and
  • comply with law, enforce agreements, prevent fraud or misuse, and protect rights and safety.

4. How we disclose information

We may disclose information:

  • to the salon merchant and its authorized owners, managers, employees, and devices;
  • to Clover/Fiserv and connected services as necessary to provide Clover account, device, payment, order, catalog, employee, customer, and subscription functionality;
  • to hosting, communications, monitoring, security, support, and other service providers that process information for us under appropriate restrictions;
  • when required by law, legal process, or a valid government request, or to protect rights, security, and safety;
  • in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law; and
  • with a person’s direction or consent.

We do not sell personal information for money. We do not use or disclose personal information for cross-context behavioral advertising.

5. Data retention

We retain information for as long as reasonably necessary to provide the Service, maintain business and transaction records, resolve disputes, enforce agreements, meet legal, tax, accounting, and security obligations, and support legitimate merchant needs. Retention periods vary by the type of information and the merchant’s configuration. Information may remain in backups for a limited period after deletion.

6. Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls, account roles, encrypted network connections where supported, monitoring, and merchant-data separation. No electronic system is completely secure, and we cannot guarantee absolute security. Merchants are responsible for protecting their Clover, Windows, web, and Nail Salon POS PRO credentials and for removing access promptly when a worker’s authorization ends.

7. Choices and privacy rights

Customers and employees should contact the salon that collected their information to request access, correction, deletion, or another privacy choice. Merchants may use Service controls or contact us for assistance with an authorized request. We may need to verify identity and authority, and we may retain information when required or permitted by law.

Depending on location, individuals may have rights to know, access, correct, delete, obtain a copy of, or restrict certain processing of their personal information, and to appeal or complain to a regulator. We will not discriminate against a person for exercising an applicable privacy right.

8. Children

The Service is intended for businesses and authorized adult users, not for children under 13. We do not knowingly collect personal information directly from children under 13. A salon remains responsible for obtaining any consent required before entering information about a minor customer.

9. International processing

The Service is operated from the United States. Information may be processed in the United States or other locations where our service providers operate. Where required, we use lawful measures for cross-border transfers.

10. Third-party services

The Service may link to or interoperate with Clover and other third-party services. Their handling of information is governed by their own terms and privacy notices. Clover’s privacy information is available at https://www.clover.com/privacy-policy.

11. Changes to this Policy

We may update this Policy to reflect changes to the Service, law, or our practices. We will post the updated version and revise the effective date. When required, we will provide additional notice or obtain consent.

For privacy requests, include the salon name, ShopID if known, the nature of the request, and enough information for us to verify the account or requester’s authority. Do not send full card numbers, PINs, passwords, or card security codes.
